Customer Service Outsourcing for Apparel and Fashion Brands
Sizing and fit, returns and exchanges, drop days and peak season, handled inside your helpdesk.
Apparel customer service outsourcing
Apparel customer service outsourcing means a trained outside team answers your shoppers' questions on sizing, fit, orders, returns and exchanges, across chat, email, phone and social, inside your own helpdesk. Atidiv runs this for US apparel and fashion brands from teams in India and the Philippines, around the clock if you need it. It starts with a pilot team on a slice of your volume, and it is priced on coverage, not headcount: the hours of cover, the channels in scope and the seniority the work needs.
Clothing creates more contact per order than most categories. A shopper who cannot tell whether a medium runs small writes in before buying. The same shopper writes in again when the medium arrives and fits like a large. Most of what an apparel support team does is decide, quickly and consistently, whether that person keeps the order, swaps it, or gets a refund. That is the work we staff for.
The numbers
These are the figures Atidiv publishes across its customer experience accounts. Brands spend up to 60% less than an in-house team, and a team can scale by up to 200% within two weeks.

What we handle for apparel and fashion brands
Fit is the question that decides whether the cart converts. Agents learn your size charts, your fit notes by product line, and the differences between your cuts, so a shopper asking whether the relaxed jean runs big gets the answer your merchandising team would give. Where a size chart and a product page disagree, the question goes back to your team rather than being guessed at, because that disagreement is usually the reason the same question keeps coming in.
In apparel, the exchange is often the better outcome for both sides: the customer gets the right size and you keep the sale. We work each request to your policy: exchange first where the size is in stock, store credit or refund where it is not, and a clear answer on final-sale items. On Shopify, customers can submit return requests from their order status page, and when a return is approved you can add exchange items and send return labels. Our agents work those requests in your admin, so the replacement can ship while the size is still in stock.
Agents can also log the reason behind each return in a form your team can use: runs small, color not as pictured, fabric thinner than expected. Read monthly, that list tells merchandising which product pages need a better fit note.
A limited drop compresses a week of questions into an hour: is it restocking, why did my cart empty, was I charged if checkout failed. We staff drops as their own event, with agents briefed on the release, the quantities, the restock plan and the answers you have approved, and we schedule them for the hour the drop goes live.
Preorders need care too. The FTC’s Mail, Internet, or Telephone Order Merchandise Rule says a seller must have a reasonable basis for any shipping time it states, or for shipping within 30 days if it states none. If an order will be late, the customer must be offered the choice to accept the delay or cancel for a prompt refund. When a preorder slips, we can send those delay notices in your voice, record each customer’s choice and process the cancellations, so your team is not drafting emails at midnight.
Address changes, a wrong size selected at checkout, a discount code that did not apply. These have a short window before the warehouse picks the order. Agents with access to your store admin and your warehouse or 3PL portal can edit or hold the order inside that window.
Fashion customers ask in comments and direct messages as often as by email. We answer on the channels your brand runs, with the same policies, and we pass product feedback and influencer mentions to your team. Our social media support page has the detail.
Apparel has two peaks: the holiday rush, and the returns wave that follows it in January. We plan both. We forecast from last year’s ticket curve, hire and train ahead of the ramp, and can scale a team by up to 200% within two weeks when volume moves faster than planned. Where a question repeats often enough, such as order status, return label requests or size chart links, we automate it. Between 30 and 80% of repeat queries can be handled that way with quality checks in place, and a person handles every exception.
How it starts
Four steps from the first call to a team at full coverage.
We look at your ticket mix, your channels, your hours and your return policy, and agree what the pilot covers.
We turn your size charts, fit notes, policies and macros into a knowledge base agents train on, and flag gaps and contradictions before go-live.
A small team takes a defined share of tickets. You read the transcripts and quality scores before you commit to a team size.
The team grows to full coverage, with reporting on volume, response times, quality and return reasons.
Working in your stack
Agents log in to your helpdesk and your store admin rather than a system of ours. We work in Gorgias, Zendesk, Freshdesk, Intercom, Reamaze and Richpanel, so refunds, exchanges and order edits happen where they already happen and your reporting does not change. Brands on Shopify can see more on our Shopify customer service outsourcing page. Everything on this page is part of our ecommerce customer service outsourcing, organized around how apparel customers actually buy.
How pricing works
We price on coverage, not headcount, so a quote follows a short call rather than a rate card. Three things move the number: the hours of cover, the channels in scope and the seniority the work needs. Recruiting, training, management, quality assurance and tooling are inside the rate. Our full-flex model lets you scale up for drops and peak season and scale down after, paying only for the support you need. Measured against a fully loaded in-house agent, the cost is up to 60% less than an in-house team.

Frequently asked questions about apparel customer service outsourcing
Yes, once they are trained on your size charts and fit notes. We build that knowledge base in the first weeks and keep it current as new lines launch. Where a question needs someone who has handled the garment, we escalate it to the person on your team you name.
Both. We follow your policy, and where your policy prefers an exchange, agents offer it first and process it in your store admin.
Yes. Drops are planned as their own event, with agents briefed ahead and scheduled for the release window. A drop or a peak season is also a sensible first pilot, because it tests the team on your hardest week.
We can send the delay notices the FTC rule calls for, in your voice, offer each customer the choice to wait or cancel, and process refunds for those who cancel.
Gorgias, Zendesk, Freshdesk, Intercom, Reamaze and Richpanel, along with Shopify and your warehouse or 3PL portal. Agents work in your tools rather than ours.
A pilot can start once scoping and the knowledge build are done. After that, we can scale a team by up to 200% within two weeks for peak.
