Customer Service Outsourcing for Supplement Brands

Subscriptions, product questions answered inside the claim rules, and side-effect reports sent straight to you.

Supplement customer service outsourcing

Subscription tickets handled fast, health questions answered only from your approved wording

Supplement customer service outsourcing means a trained outside team answers your customers about orders, subscriptions, ingredients and how to use your products, across chat, email, phone and social, inside your own helpdesk, without making health claims your brand cannot make. Atidiv runs this for US supplement and wellness brands from teams in India and the Philippines, around the clock if you need it. It starts with a pilot team on a slice of your volume, and it is priced on coverage, not headcount: the hours of cover, the channels in scope and the seniority the work needs.

Two things set supplement support apart. Most revenue is on subscription, so a large share of tickets are about the next charge. And customers ask health questions: will this help my sleep, can I take it with my medication, is it safe while pregnant. A support agent who answers those loosely creates a claim your marketing team never approved. We train for both.

For snacks, drinks and meal kits, see our program for food and beverage brands.

The numbers

These are the figures Atidiv publishes across its customer experience accounts. Brands spend up to 60% less than an in-house team, and a team can scale by up to 200% within two weeks.

What we handle for supplement and wellness brands

Subscribe-and-save plans drive most of the contact: when is my next order, can I skip a month, change the flavor, move the date, cancel. Agents work these in your subscription app and store admin, to your rules.

Billing disputes on a subscription are where brands get into trouble. The Restore Online Shoppers’ Confidence Act requires online sellers of recurring plans to disclose all material terms before taking billing details, get the customer’s express informed consent before charging, and provide simple mechanisms to stop recurring charges. So when a customer asks to cancel, the cancellation goes through. A save offer, if you want one, is made once in your words, and it never stands between the customer and the cancellation. Where a customer says they did not know they were subscribed, agents refund to your policy and log it, because a pattern in those tickets usually points to a checkout page, not a customer.

The FDA lets a dietary supplement make structure/function claims, such as “calcium builds strong bones”, with a label disclaimer that the FDA has not evaluated the claim and that the product is not intended to diagnose, treat, cure or prevent any disease. Only drugs can make disease claims. The FTC’s Health Products Compliance Guidance adds that health claims need competent and reliable scientific evidence, that its idea of advertising covers the internet, social media and influencer marketing, and that a structure/function wording can still imply a disease claim. Testimonials alone never substantiate a claim.

A support reply is part of how you market the product. So agents answer health questions only from an approved claims library that your regulatory or legal adviser signs off:

  • What each product contains and how to take it, as the label says
  • The benefits you are permitted to state, in your approved wording
  • A standard answer for “can I take this with my medication” or “while pregnant” that points the customer to their doctor or pharmacist
  • Phrases agents never use, such as “cures”, “treats” or “prevents”, and never a customer’s own story repeated as proof

Every claims question outside the library is escalated, not improvised. We review transcripts for claim wording as part of quality checks, and flag new questions so the library grows.

A customer who writes “I felt dizzy after taking this” may be reporting an adverse event, and for supplements that has legal weight. Under FDA rules, the manufacturer, packer or distributor whose name is on the label must submit every serious adverse event report it receives through the label’s address or phone number to the FDA within 15 business days. A serious event includes one that results in death, a life-threatening experience, hospitalization, or persistent disability, or that needs medical intervention to prevent those outcomes. New medical information received within a year also has to be sent within 15 business days, and records must be kept for six years.

We do not decide whether an event is serious or file with the FDA. That stays with your team. Our part is getting each possible report to you with what you need. Agents are trained to recognize a possible adverse event in any channel, collect the product, lot number, dates and contact details in a set form, stop giving product guidance on that ticket, and hand it to the person you name. Each hand-off can be logged with a timestamp so your team can show when the report was received, which matters because the 15-day clock runs from receipt.

The rest of the queue is standard ecommerce work: order status, address changes, damaged bottles, missing items, returns of unopened product. We handle it to your policy in your store admin and your 3PL portal, and can log return and complaint reasons by product so your team can see which formula or packaging draws the most contact.

How it starts

Four steps from the first call to a team at full coverage.

We look at your ticket mix, channels, hours, subscription rules and refund policy, and agree what the pilot covers.

We turn your labels, approved benefit wording and policies into a knowledge base, your adviser signs off the claims library, and we agree who receives possible adverse event reports.

A small team takes a defined share of tickets. You read the transcripts and quality scores, including claim wording, before you commit to a team size.

The team grows to full coverage, with reporting on volume, response times, quality, escalations and cancellation reasons.

Working in your stack

Agents log in to your helpdesk, your store admin and your subscription app rather than a system of ours. We work in Gorgias, Zendesk, Freshdesk, Intercom, Reamaze and Richpanel, so subscription changes, refunds and replacements happen where they already happen. Everything on this page is part of our ecommerce customer service outsourcing, organized around how supplement customers buy and what they ask.

How pricing works

We price on coverage, not headcount, so a quote follows a short call rather than a rate card. Three things move the number: the hours of cover, the channels in scope and the seniority the work needs. Recruiting, training, management, quality assurance and tooling are inside the rate. Our full-flex model lets you scale up for launches and sales and scale down after, paying only for the support you need. Measured against a fully loaded in-house agent, the cost is up to 60% less than an in-house team.

Frequently asked questions about supplement customer service outsourcing

Yes, from a claims library your regulatory or legal adviser approves. Agents state only the benefits you are permitted to state, in your wording, and escalate anything outside it.

The agent collects the product, lot number, dates and contact details in a set form, stops giving product guidance, and hands the ticket to the person you name, with a timestamp. Whether it is a serious adverse event and whether to report it to the FDA stays with your team.

No. They use your approved answer, which points the customer to their doctor or pharmacist.

A customer who asks to cancel is not kept from cancelling. If you want a save offer, it is made once, in your words, and never blocks the cancellation.

Gorgias, Zendesk, Freshdesk, Intercom, Reamaze and Richpanel, along with Shopify, your subscription app and your 3PL portal. Agents work in your tools rather than ours.

A pilot can start once scoping, the claims library and the escalation route are agreed. After that, we can scale a team by up to 200% within two weeks for peak.
