Accounting Automation ROI Calculator: In-House Bookkeeping vs Outsourced

Written by Max | Published on October 21, 2026 | 11 min read

This accounting automation ROI calculator shows what your bookkeeping costs you in-house today, what the same work costs with an outsourced bookkeeping team, and the return on the switch. Enter the hours your team spends on bookkeeping each month, who does the work and what they are paid. The calculator returns the yearly cost of each option, the net saving, the ROI as a percentage, the payback period and the hours your team gets back.

It is built for founders, controllers and finance leads at US small businesses and direct-to-consumer brands who are deciding whether to keep bookkeeping in-house or hand it to a team with better processes and tools. Every default comes from published data and can be replaced with your own figures.

    How to use the calculator

    1. Enter your monthly hours. Count every hour your team spends coding transactions, reconciling bank and card accounts, matching payouts, chasing receipts and closing the month. If you do not track it, estimate it for one typical month.
    2. Choose who does the work today. A bookkeeper, an accountant or a founder. The salary fills in from US Bureau of Labor Statistics data; overwrite it with the real figure. For a founder, enter what an hour of your time is worth to the business.
    3. Enter the hours you would keep. Someone still reviews the statements and answers questions. Eight hours a month is the default.
    4. Check the outsourced side. The default rate is a market rate, not our price: $18 an hour, the middle of the $11 to $25 an hour that freelance bookkeepers charge on Upwork. Accounting firms listed on Clutch average $25 to $49 an hour. Replace it with any quote you have. If a better process or automation would cut the hours needed, lower the hours share; it starts at 100%, so the calculator gives no credit for automation unless you do.
    5. Add any one-time cost, such as a cleanup of past months, and any software you would stop paying for.
    6. Read the result, then enter your email to open the full breakdown.

How the ROI is worked out

The calculator keeps the standard formula: ROI = (total savings − total costs) ÷ total costs × 100%.

Your cost today. Annual salary plus 31% for benefits and payroll costs, divided by 1,920 working hours, gives a loaded hourly cost. The 1,920 hours are 2,080 paid hours less 20 days off. Because paid leave is already taken out of the hours, the 31% leaves it out of the benefits: in the BLS Employer Costs for Employee Compensation tables for June 2026, office and administrative support workers in private industry cost $11.51 an hour in benefits, of which $2.77 is paid leave, on $25.22 in wages. (11.51 − 2.77) ÷ (25.22 + 2.77) is 31%. Counting the full benefits load as well as the days off would charge for paid leave twice. For a bookkeeper at the BLS median of $50,670 a year, that is about $34.57 an hour. For an accountant at the BLS median of $83,680, about $57.09. Your monthly hours times that rate, times 12, is what bookkeeping costs you now.

Total savings. The in-house cost you stop paying, which is today’s cost less the review hours you keep, plus any software you cancel.

Total costs. The outsourced hours times the outsourced rate, times 12, plus any one-time cost.

Payback. The one-time cost divided by the monthly net saving. With no one-time cost, the switch pays from the first month.

    Reading the result honestly

The in-house figure is the value of your team’s time, not cash leaving the business, unless the switch lets you avoid a hire or reduce hours. If the same people stay on payroll, the saving is the hours they get back for work that moves the business forward, such as cash forecasting, pricing and margin analysis. The calculator shows those hours separately for that reason.

The result also leaves out the cost of mistakes, late filings and a slow close, because none of those can be priced without your own history. If your books are behind or regularly corrected at year end, the real return is higher than the one shown.

    Frequently asked questions

How do I calculate the ROI of outsourcing bookkeeping?

Take the in-house cost you would stop paying, subtract what the outsourced team and any one-time setup cost, and divide by that outsourced cost. A result of 100% means every dollar spent on the outsourced team saves two dollars of in-house cost.

How do I calculate accounts payable automation ROI?

Use the same formula on the payables work alone. Enter only the hours spent entering bills, getting approvals, scheduling payments and matching vendor statements, and the calculator returns the ROI for moving that work.

Is the in-house cost real money if I keep the same staff?

Not directly. It is the value of the hours, which becomes cash only if you avoid a hire, cut overtime or reduce paid hours. The hours freed figure shows what your team gets back either way.

Does the calculator assume automation cuts the hours?

No. It starts from the same hours you spend today. If a provider shows you that bank feeds, rules and receipt capture will cut the time, lower the hours share to match.

How long does it take to see a return?

With no setup cost, from the first month. With a cleanup or onboarding fee, the calculator shows the number of months until the monthly saving covers it.

    How is Atidiv’s bookkeeping priced?

Pricing is set for each client after a short call, because it depends on transaction volume, entities and the systems you use. Hourly support suits low or seasonal volume. A monthly retainer is a fixed fee for full or part-time bookkeeping, based on volume, entities and complexity, and cleanups or migrations can be priced as a separate project.
