This customer support cost calculator compares what a support team costs a year when you hire it in-house in the US with what the same coverage costs when you outsource it. Enter the hours your team spends each week on email, live chat, social media and phone. It returns both yearly costs, the difference, and the cost per staffed hour. In-house figures start from US Bureau of Labor Statistics wage data. Outsourced figures start from published market rates, and you can change every default.
We built it for founders and customer experience leads at consumer brands in the US, UK and Australia who are weighing a first hire, a bigger team or a move to an outsourced partner. Our customer experience ROI calculator estimates what a better NPS or CSAT score is worth in revenue. This one answers a narrower question with numbers you can check: what does the team cost?

How to use the calculator
- Enter your agent hours on each channel. Count each person separately: two people on live chat for 8 hours a day, five days a week, is 80 hours. The calculator starts at 120 hours a week, two people across 12 hours a day on weekdays, so adjust only the channels that differ from yours. It shows the total as you go. Phone costs the most to outsource, so phone-heavy work raises the outsourced rate.
- Pick a region for the outsourced team: offshore, nearshore or onshore US. This sets the starting hourly rate, which you can overwrite with a quote you already have.
- Check the in-house defaults. Salary, benefits, help desk seats and hiring cost are prefilled from published sources, days off from a typical US allowance, and training and management start at zero. Replace any of them with your own numbers.

How the numbers are worked out
Hours you need covered. The agent hours a week across the four channels, times 52, gives the staffed hours in a year. Two agents across 60 hours a week is 120 agent hours, or 6,240 hours a year.
In-house team size. An employee is paid for 2,080 hours a year but is not answering customers during holidays, vacation or sick days. We take 20 paid days off as the default, which leaves 1,920 working hours per agent. Staffed hours divided by working hours, rounded up to a whole person, is the number of agents you would hire. For 6,240 hours that is four agents.
In-house cost. Each agent’s salary starts at the BLS median pay for customer service representatives, $44,770 a year in May 2025. Benefits and payroll costs add 31%. That comes from the BLS Employer Costs for Employee Compensation table for office and administrative support workers in private industry, June 2026: benefits of $11.51 an hour worked, less $2.77 of paid leave, divided by wages plus paid leave ($25.22 + $2.77). Paid leave is left out of the load because an annual salary already pays for those days, and the calculator counts them as lost hours instead. Counting leave in both places would overstate the in-house cost. On top go a help desk seat per agent, recruiting for each new hire, and any training and management cost you enter.
Outsourced cost. Outsourced teams are usually billed for the hours they work. The calculator starts from an hourly rate for your region, adjusts it for your channel mix, multiplies by the staffed hours, and adds a one-time setup fee, a margin for extras that a headline rate often leaves out, and the same help desk seats, because outsourced agents usually work inside your help desk.
Where the rates come from. Published hourly bands run about $6 to $18 offshore, $8 to $20 nearshore and $25 to $65 onshore in the US, across the guides from Helpware, Assembled, Crescendo (formerly PartnerHero) and The Remote Reps. The defaults are $10 offshore, $15 nearshore and $35 onshore, each inside most of those published bands. The channel adjustment uses the published channel bands from The Remote Reps: email $8 to $25 an hour, chat $10 to $30, social media $12 to $35 and phone $18 to $50.
What the result does not include
Office space, phone and chat software beyond the help desk seat, overtime, training (unless you enter it) and the cost of the weeks a new hire takes to reach full speed are left out on the in-house side, so the in-house figure is a floor. On the outsourced side, language premiums and specialist work can push a quote above the default rate. Treat the result as a first comparison and replace the defaults with real quotes before deciding.
Where Atidiv fits
Atidiv provides outsourced customer support for consumer brands in the US, UK and Australia across phone, chat, email, messaging and social. We price on coverage, not headcount, and a quote follows a short call rather than a rate card, so the calculator never uses an Atidiv rate. What we publish is the result for our clients: up to 60% less than an in-house team, an average QA score of 98% and a 4.8 average CSAT. If you are pricing one channel, see our pages on email support, live chat support and voice support.
Frequently asked questions
How much does an in-house customer support agent cost a year?
At the BLS median wage of $44,770 plus 31% for benefits and payroll costs (paid leave excluded, since the salary already covers it), one agent costs about $58,600 a year before a help desk seat, hiring, training and management. The calculator adds those and shows the total for your team.
Why does the calculator round in-house agents up?
You cannot hire a fraction of a person. If your coverage needs 3.25 agents’ worth of hours, you hire four, or three plus overtime. Outsourced teams bill the hours worked, which is one of the main reasons the two costs differ.
Why does phone support raise the outsourced cost?
Calls are live and handled one at a time, so they need more agent time per contact than email or chat. Published channel bands put phone at $18 to $50 an hour against $8 to $25 for email, and the calculator weights your rate by the hours on each channel.
Can outsourcing cost more than an in-house team?
Yes. At onshore US rates, the outsourced cost can match or pass the in-house cost for small teams, and the calculator will show that. The gap usually opens with offshore or nearshore teams, extended hours and seasonal volume.
Is the result a quote?
No. It is an estimate built from published wage data and market rates. A quote depends on your volume, languages, hours, platforms and compliance needs.
