Petty Cash

What Is Petty Cash?

Petty cash refers, quite literally, to a small amount of physical money that a business holds for a number of minor expenses to be paid quickly, and for the convenience of the person paying it to avoid writing a check, making a bank transfer, or using a company card. Petty cash is mostly used for buying small things like stationery that goes to the office, small transportation such as a cab ride, snacks and drinks to be made available for the staff, or even small business purchases. All such things fall under what petty cash is all about.

So, what’s petty cash in simple terms? It is a convenient cash fund used for small day-to-day expenses. A designated employee, known as a petty cash custodian, is generally responsible for keeping the cash secure, recording transactions, and maintaining receipts.

Petty Cash Meaning and Definition

The petty cash meaning refers to a small cash fund maintained by a business for incidental expenses. The petty cash definition is therefore straightforward: physical cash set aside for low-value business payments that do not require the usual payment process.

Why is it called petty cash? The word “petty” refers to something small or minor. Petty cash therefore describes cash reserved for relatively small business expenses rather than major payments.

How Does Petty Cash Work?

A typical petty cash system follows a simple process:

  1. Set the fund: The business establishes a fixed amount of cash.
  2. Assign a custodian: A responsible employee manages the fund.
  3. Make small payments: Cash is used for approved incidental expenses.
  4. Keep receipts: Each transaction is documented with a receipt or voucher.
  5. Reconcile the fund: The remaining cash and recorded expenses are checked regularly.
  6. Replenish the fund: Cash is restored when the balance falls below the required level.

Petty Cash Explanation: Why Is It Important?

A  clear petty cash explanation starts with its function, i. e., why is it needed, besides being used to replenish the petty cash fund? It is so employees can make small cash purchases easily and still have a record of company cash being spent. Also, by routinely reconciling transactions, companies catch errors early and stop any unapproved expenses from getting out of hand. On top of that, this accounting practice brings an opportunity to check on the overall correctness of records and the company’s cash position.

How Should Businesses Manage Petty Cash?

Absolutely, businesses should set spending limits, require receipts for purchases, restrict access to authorised employees, regularly reconcile the fund with records, and record expenses immediately. Such controls are useful for tracking petty cash and at the same time minimise the possibilities for a fraudulent act.

To explain petty cash simply: it is a controlled cash fund for small business expenses.
